1. Who is responsible for your information?

Karting Hub UK is the controller of personal information collected through this website.

2. Information we collect

• Account information, including your email address and authentication identifiers.
• Seller and listing information, including names, locations, descriptions, photographs and website links.
• Business Shop ownership, package, product allowance and payment records used to operate paid shops.
• Business, event and driver submissions, including private contact details, consent records and payment status needed for review and administration.
• Video submissions, including the public YouTube link, video details, permission confirmation and the submitter's private name and email address.
• News comments, including the public display name and comment plus the commenter's private email address used for moderation.
• Competition entries, including your name, email address, eligibility confirmations, competition answer and optional marketing choice.
• Enquiries, reviews and messages submitted through the website.
• Payment records such as the product, amount, payment status and Stripe transaction reference. We do not receive or store your complete card number.
• Basic technical and security information generated when the service is used.

3. How we use information

• To create accounts and provide marketplace, directory, advertising and promotional services.
• To process and verify payments, prevent duplicate use and keep financial records.
• To review, publish, moderate, update or remove submitted content.
• To administer competitions, prevent duplicate entries, select and contact winners and deliver prizes.
• To deliver enquiries and service messages and provide customer support.
• To prevent fraud, spam, misuse and security incidents.
• To meet legal, tax, accounting and regulatory requirements.

Our lawful bases are performance of a contract, compliance with legal obligations and our legitimate interests in operating, securing and improving the service. Where consent is specifically required, we will ask for it separately.

4. What becomes public?

Information placed in a live advert, Business Shop, business profile, driver profile, event, review or other published submission can be viewed publicly and may be indexed by search engines. Do not include private information in public descriptions.

A Business Shop owner's account identifier, private owner email, Stripe references and order history are kept in private administration records and are not part of the public shop profile.

Seller email addresses used for private marketplace enquiries are not intentionally displayed. Business contact information may be displayed when it is submitted for publication as part of a business profile.

For an approved video, the video title, description, category, channel name and YouTube content may be displayed publicly. The submitter's name and email address remain private.

For an approved news comment, the commenter's chosen display name, comment and submission date may be shown publicly. The commenter's email address remains private and is available only to Karting Hub UK for moderation and administration.

Competition entries and answers are not published. A winner's name will not be announced publicly without their separate permission.

5. Service providers

We use carefully selected providers to operate the website:

• Supabase for authentication, database and file storage.
• Stripe for secure payment processing.
• Resend for transactional email.
• Vercel for website hosting and delivery.
• Google/YouTube for retrieving approved channels' public uploads and displaying embedded videos.

We may also disclose information when required by law, to protect users or the service, or as part of a lawful business transfer. We do not sell personal information.

6. International processing

Some providers may process information outside the United Kingdom. Where this happens, we rely on the provider's appropriate contractual and legal safeguards for international transfers.

7. How long we keep information

• Account information is normally kept while the account remains active and for a reasonable period afterwards.
• Published content is kept while it remains live or is needed for moderation and record-keeping.
• Enquiries, unapproved comments and unsuccessful submissions are normally reviewed for deletion after 24 months.
• Competition entries are normally deleted or anonymised within 90 days after the prize has been delivered, unless a longer period is reasonably needed for a dispute or legal record. Marketing contact details may be retained until consent is withdrawn.
• Payment and accounting records may be kept for up to six years where required.
• Security records are kept only as long as reasonably necessary to investigate and prevent misuse.

We may retain information for longer where a dispute, legal claim or statutory requirement applies.

8. Children and driver profiles

A driver profile for anyone under 18 must be submitted or authorised by their parent or legal guardian. Private parent or guardian contact details are used to manage the profile and are not intended for public display.

9. Cookies and local storage

The website uses essential browser storage and similar technology for login sessions, security and features such as watchlists. Videos are embedded using YouTube's privacy-enhanced domain; choosing to play a video connects your browser to YouTube and is subject to YouTube's own privacy practices. We do not currently use non-essential advertising cookies. If that changes, this policy and the consent choices on the website will be updated.

10. Your rights

Depending on the circumstances, you may ask us to access, correct, erase, restrict or transfer your personal information, or object to its use. You may also withdraw consent where consent is the lawful basis.

Email info@karting-hub-uk.co.uk to make a request. We may need to verify your identity. You can also complain to the Information Commissioner's Office.

11. Security and changes

We use reasonable technical and organisational safeguards, but no internet service can guarantee absolute security. We will update this notice when our services or legal obligations change and will publish the revised date above.
